Privacy Policy for Learning in Law

Learning in Law Limited (“Learning in Law”, “we”, “us”, or “our”) is committed to protecting the privacy and security of your personal data. We are the controller of personal data, meaning we are the organisation legally responsible for deciding how and for what purposes it is used. This Policy explains how we collect, use, store and share your personal information when you interact with us, visit our website, attend our events, or use our services. It also explains your rights in relation to your personal data and how to contact us or a relevant regulator in the event you have a complaint. 


We collect, use and are responsible for certain personal data about you. When we do so, we are subject to the UK General Data Protection Regulation.


1.    Overview


Learning in Law Limited is a registered company in the United Kingdom. The committee consists of a group of volunteers across different law firms who are governed by Articles of Association. The committee give their time to support and lead the organisation. We engage one paid individual to support our administrative operations, but this role does not warrant employment and is not a Data Protection Officer position. We are not required to appoint a Data Protection Officer.


We do not have any physical premises, nor our own computer equipment. We operate primarily through the cloud-based system OneDrive.  


This privacy policy is divided into the following sections:

2.    The Personal Data We Collect

2.1     Memberships


Those who are registered members or recommended providers will have their name, company name, address, email address and telephone number collected. We have legitimate interest to collect this data in order to set up and manage your membership and subscription benefits. Should members or providers also wish to add a personal bio to their profiles; this information will also be stored.


2.2     Purchases and payments


We do not store or have access to your full payment card details. All card payments made through our website are processed securely by WixPay, our payment processor. When we issue manual invoices, payments are made directly between you and your bank or payment provider; Learning in Law does not handle or store any card information.


2.3     Event attendance 


When you register for an event, we collect your name and contact details so we can manage your booking and communicate with you about the event. We may also ask for dietary or accessibility requirements. This information may include special category data, which we process only to ensure the event meets your needs and, where relevant, to protect against legal claims (for example, relating to allergies or disability requirements). Any special category data is deleted as soon as reasonably practicable after the event.


2.4 Feedback and Recommendations
We collect your name, email address and the content of your feedback or recommendation. We have a legitimate interest to be able to respond to your feedback or recommendation and to provide the source. 


2.5     Communications and Enquiries 


When you contact us, we collect your name, contact details and any information you provide in your enquiry. This forms a legitimate interest basis to allow us to properly respond to your query. We may also file your email within Outlook if we feel the email warrants ongoing reason for storage. 

2.6     Marketing Communications 


We may use your name and contact details to send you information about services or events that may interest you. You can withdraw consent or unsubscribe at any time.


You have the right to opt out of receiving marketing communications at any time by:


•    Contacting us at learning.in.law@learninginlaw.com 
•    Using the ‘unsubscribe’ link in emails 
•    Updating your marketing preferences by using the ‘change email preferences’ link in emails


We may ask you to confirm or update your marketing preferences if you ask us to provide further services in the future, or if there are changes in the law, regulation or the structure of our business. 


We will always treat your personal data with the utmost respect and never sell or share it with other organisations outside the Learning in Law group for marketing purposes. 


2.7    Anonymised Data 


We may anonymise your data for research or statistical purposes. Once anonymised, it is no longer personal data and may be used or commercialised.


Sometimes you can choose if you want to give us your personal data and let us use it. Where that is the case we will tell you and give you the choice before you give the personal data to us. We will also tell you whether declining to share that personal data will have any effect on the use of our services.


We collect and use this personal data for the purposes described in the section ‘How and why we use your personal data’ below. 


3.    How Your Personal Data is Collected 


We collect personal data from you:

 

  • Directly, when you enter or send us information, such as when you register with us, contact us (including via email), send us feedback, purchase services via our website, post material to our website and complete customer surveys via our website, and;

  • Indirectly, such as your browsing activity while on our website; we will collect information indirectly using the technologies explained in the section on ‘Cookies’.

4.    How and Why We Use Your Personal Data 


Under data protection law, we can only use your personal data if we have a proper reason, e.g.:


•    Where you have given consent 
•    To comply with our legal and regulatory obligations 
•    For the performance of a contract with you or to take steps at your request before entering into a contract, or
•    For our legitimate interests or those of a third party 


A legitimate interest is when we have a business or commercial reason to use your personal data, so long as this is not overridden by your own rights and interests. We will carry out an assessment when relying on legitimate interests, to balance our interests against your own. You can obtain details of this assessment by contacting us (see ‘How to Contact Us’ below). 


We use your personal data to:


•    Manage memberships and subscriptions
•    Process payments
•    Administer and run events
•    Respond to enquiries and feedback
•    Provide marketing communications (where permitted)
•    Maintain our records and accounts
•    Improve our services
•    Comply with legal obligations 


We do not use your data for automated decision-making or profiling.


5.    Who We Share Your Personal Data With 


We use trusted third-party service providers:

 

  • Microsoft 365 – includes OneDrive, Outlook, Excel and MS Forms for cloud storage

  • Wix – website hosting, membership management, marketing, analytics and payment processing

  • Usercentrics – Wix recommended cookies and privacy platform 

  • WixPay – payment processing

  • FreeAgent – accounting and financial records

  • Canva – design platform for marketing and communications 

  • iControl – processing member data on the previous website (learninginlaw.org.uk)

  • Microsoft Outlook – email marketing and contact enquiries

 

These providers may be located inside or outside the UK and the EU. Where personal data is transferred outside the UK/EU, we ensure appropriate safeguards such as adequacy regulations or Standard Contractual Clauses. 


We do not sell your personal data.


5.1    Artificial Intelligence Usage 


We may use artificial intelligence (AI) tools to assist with tasks such as reviewing finances, data analysis and customer support. We do not process personal data through these tools, any data that is processed is handled in accordance with this Privacy Policy.


6.    Data Retention 


We will not keep your personal data for longer than we need it for the purpose for which it is used. 


6.1 Membership Data


We retain membership data for two years after your subscription lapses. 


6.2 Event Data 


Personal data retained for up to two years after the event; special category data deleted as soon as reasonably practicable; event feedback retained for two years. 


6.3 Provider Recommendations 


We acknowledge the value for members to access recommendations, as knowledge sharing is key to Learning in Law. Provider recommendations are retained for two years, thereafter the recommendation and any personal details will be destroyed. 


6.4 Enquiries 


Enquiries to Learning in Law will be retained for up to five years after resolution. Data is securely deleted or anonymised once retention periods expire.


7.    Cookies


A cookies is a small text file which is placed onto your device (e.g. computer, smartphone or other electronic device) when you use our website.


Our website uses cookies to enhance your browsing experience. Some cookies are essential; others require your consent. Advertisement may set their own cookies. These providers do not have access to our cookies. You can manage your cookie preferences through your browser or our cookie banner.


8.    Your Rights Under UK Data Protection


You have the right to:
•    Access a copy of your personal data
•    Rectify inaccurate or incomplete data
•    Erase your personal data
•    Restrict the use of your personal data
•    Object to processing
•    Data portability
•    Not to be subject to decisions without human involvement
•    Withdraw consent at any time

9.    Data Security 


We take appropriate technical and organisational measures to protect your personal data, including secure cloud storage, access controls and encryption provided by our service providers.


10.    Children’s Data 


Our services are not intended for children, and we do not knowingly collect data relating to individuals under 18.


11.    Changes to This Policy 


We may update this Privacy Policy from time to time. Any changes will be posted on our website with an updated “last updated” date.
